Finance Specialist Assistant

ABOUT THE JOB
We are looking for a Finance Specialist Assistant to join our unit in Portugal. This person will the first one in the Finance Department to join the team to manage finance subjects.
This position aims to support the efficient functioning of finance tasks that will go from administrative functions to finance budgeting and controlling.
At the same time, this person will assist with some human resources responsibilities, ensuring smooth operations and employee satisfaction within the organization.
Responsibilities
- Collect all accounting documents (invoices, expense reports, bank notices)
- Process financial documents (invoices/expenses/bank excerpts/bank statements)
- Ensure accurate financial reports, including income statements, balance sheets, tax returns, and cash flow statements.
- Prepare and be responsible for all payments (income and outcome), maintaining cost reports and invoicing
- Support external audits
- Manage the relationship with our accounting partner and be responsible for the weekly/monthly contacts with this partner.
- Prepare payroll information for our accounting partner
- Support the development and implementation of best financial/administrative practices
- Ensuring that the company complies with the established finance policies and procedures
- Give full administrative and secretarial support to the organization
- Support the organization with purchases and orders for the different offices in Portugal
- Support the company in managing funding projects, such as Portugal2030
And additionally
- Update employee information on HR platforms such as HiBob/peakon.
- Generate monthly training reports as per local requirements.
- Prepare contracts for employee signatures and handle new hire forms.
- Review and order IT/welcome kit materials as needed.
- Manage vacation policies and coordinate work-related medical appointments.
- Handle insurance documentation and benefit platform management.
- Be part of the events organization, communications, and travel bookings when needed.
- Maintain monthly time reports for internships managed through IEFP.
- Help coordinate office supplies when needed
Your Profile
- Bachelor's degree in business administration, Economics or similar.
- +4 years of relevant experience in a similar role
- Experience working in an international environment and providing financial support to units outside of Portugal
- Working knowledge of Portuguese tax rules and auditing best practices
- Knowledge of International Financial Reporting Standards - IFRS
- Experience working with ERP systems
- High proficiency in Excel and ability to handle large amounts of data
- Self-driven, quality-focused mindset
- Proactive and able to prioritize to deliver results in a dynamic environment
- Ability to build strong partnerships with different stakeholders
- Business-level proficiency in English and Portuguese (spoken and written)
